Are online PDF tools safe? Use this practical privacy checklist
No online PDF tool is automatically safe for every document or environment. Evaluate where processing happens, what data is retained, whether registration is required, how limits are disclosed, and whether the provider clearly separates current capabilities from planned features before using the service.

Check where the document is processed
Determine whether document bytes are uploaded to an application server or processed locally in the browser. Browser-local processing can reduce exposure to the provider's application servers, but it does not control the browser, extensions, operating system, device-management software, or network environment.
- Look for a clear statement about document-content handling.
- Distinguish application-server processing from transport and device security.
- Avoid assuming that the word 'private' means absolute confidentiality.
Check retention, identity, and analytics
Review whether the service retains document content, filenames, extracted text, passwords, metadata values, or generated files. Confirm whether an account is required and whether analytics is limited to product events rather than document-derived values.
For PDFNova's currently supported transformations, document contents are processed in the browser and registration is not required. PDFNova's stated boundary does not replace an organization's own legal, security, or records-management review.
Check limits and capability accuracy
A trustworthy product should explain file-size, file-count, browser-memory, and PDF-complexity constraints before processing. It should also identify functions that are not available rather than presenting roadmap items as working tools.
- Confirm the maximum file size and files per task.
- Check how encrypted, damaged, or unusually complex PDFs are handled.
- Verify that claims such as compression, conversion, OCR, or repair match a working production route.
Match the tool to the document's sensitivity
Do not use a public web tool for a document when policy, contract, regulation, or organizational controls prohibit it. For sensitive documents, use an approved device and browser profile, minimize extensions, verify the destination folder, and preserve an original copy.
