How to organize invoices and receipts into one PDF for free

Choose a filing order and source set

Decide whether the work file should be arranged by date, supplier, employee, expense category, purchase order, invoice number, claim line, or another approved accounting rule.

Collect only the documents that belong to the same claim, period, account, project, or submission and keep the originals unchanged.

  • Match each receipt to the related invoice or claim item.
  • Remove superseded duplicates from the working folder.
  • Record missing evidence before creating the combined file.

Combine and organize the records

Use Merge PDF to combine complete source files in the approved order. Use Reorder PDF Pages when pages inside the combined file need a different sequence, Rotate PDF for sideways scans, and Delete PDF Pages for confirmed accidental blanks or duplicates.

Use a consistent output name that identifies the employee, supplier, project, period, or claim reference required by the organization.

Check the evidence package

Open the output and compare it with the expense list, claim form, invoice register, or payment record. Confirm that every amount, date, supplier, tax document, approval page, and supporting receipt is readable and associated with the correct item.

Store or submit the file only through the approved financial and records process.

  • Check that no receipt is cut off or rotated incorrectly.
  • Check that duplicate evidence was not included twice.
  • Confirm confidential payment information is handled according to policy.

Limitations

  • PDFNova organizes complete PDF pages but does not read, calculate, reconcile, approve, or validate invoice and receipt amounts.
