How to add page numbers to business reports for free

Define the report numbering rule

Confirm whether the cover should be unnumbered, whether numbering starts at 1 or another value, and whether appendices continue the main sequence. Follow the client, company, tender, audit, or regulatory template when one exists.

Choose a position that does not overlap existing headers, footers, logos, stamps, or confidentiality markings.

  • Record the first PDF page that should receive a number.
  • Confirm the displayed number required on that page.
  • Check whether landscape pages need special review.

Apply page numbers to the report

Open Add Page Numbers, add the report, choose the position and starting number, and select the pages that should receive numbering.

Generate and download the numbered PDF after the preview settings match the report requirement.

Check numbering before submission

Open the output and inspect the first numbered page, several middle pages, the last body page, and appendix transitions. Confirm that the number sequence is complete and visible without covering report content.

Compare the final numbering with the table of contents and any page references in the report.

  • Check that excluded cover pages remain unnumbered.
  • Check that the final number matches the intended sequence.
  • Update the table of contents separately when its page references are no longer correct.

Limitations

  • Adding page numbers does not automatically update an existing table of contents or cross-references inside the report.
  • Existing footer content, crop boxes, rotations, and unusual page sizes can affect placement and require visual review.
