How to merge a project handover package into one PDF
For a project handover, use Merge PDF to combine the approved cover, handover report, acceptance evidence, drawings, schedules, and appendices in the exact submission order. Build the controlled handover source set
Collect only the files approved for the handover revision. Separate superseded drafts, working notes, and duplicate evidence before opening the merge workflow.
Use the handover index or document register to define the required sequence rather than relying on folder order.
- Place the transmittal or cover page first.
- Keep acceptance records beside the scope they support.
- Place drawings, schedules, photos, and appendices in the order required by the handover index.
Merge the approved files in submission order
Open Merge PDF, add the approved PDF files, and arrange them to match the controlled index. The first file displayed becomes the first pages in the combined output.
Generate the merged PDF only after every intended source appears exactly once and no superseded revision remains in the list.
Perform a handover-specific quality check
Open the output and compare it against the handover index. Check the first and last page of every source section, total page count, revision references, orientation, signatures, acceptance evidence, and appendix transitions.
Save the verified result using the project naming and revision convention required by the customer or document-control process.
- Keep the original source files until handover acceptance is confirmed.
- Do not use the merge step to hide missing approvals or missing evidence.
- Update any separate document register after the final PDF is verified.
Limitations
- Merge PDF joins complete source pages and does not validate project acceptance, signatures, revision status, or contractual completeness.
- The workflow does not automatically rebuild a handover index, table of contents, bookmarks, or page references after files are combined.
