How to split a finance approval pack into separate PDFs

Use Split PDF when one finance approval pack contains several cost centers, claims, invoice groups, or approval scopes that must be distributed separately. Map the exact page ranges first, split the document into the required outputs, then verify that each file contains only the pages intended for that reviewer or approval route.

Map approval boundaries before splitting

Review the combined pack and record the first and last PDF page for each approval scope. Use the viewer's actual PDF page positions because printed page labels may not match file positions.

Confirm whether cover sheets, approval forms, invoices, receipts, quotations, and supporting evidence belong to one scope or must be repeated through a separate controlled process.

  • Record each cost center or approval reference beside its page range.
  • Identify shared pages before generating separate files.
  • Check whether any page contains information that should not be sent to another reviewer.

Generate the required approval files

Open Split PDF, choose Custom ranges when each approval scope is a continuous group, and enter the ranges in the planned order. Use selected pages only when the required pages are non-contiguous and should remain together in one output.

Download the generated PDF or ZIP package and rename each output using the finance reference, cost center, claim, or approval identifier required by the process.

Verify scope before distribution

Open every output and compare its first page, last page, page count, and supporting evidence against the range map. Confirm that no invoice, receipt, bank detail, employee information, or unrelated approval page has crossed into the wrong output.

Keep the original combined approval pack as the controlled source until every separated file has been checked and accepted.

  • Check that each approval form still has its supporting evidence.
  • Check that no page is missing between adjacent ranges.
  • Apply the organization's access-control and records-retention requirements before sharing.

Limitations

  • Split PDF separates complete pages; it does not redact sensitive data that remains visible on an included page.
  • PDFNova does not determine who is authorized to receive finance documents or whether an approval pack satisfies organizational, audit, tax, or regulatory requirements.
